How to Find the Best Printer for Your Needs

How to Find the Best Printer for Your Needs

Having a hard time choosing the right printer for your office needs?

The purpose of a printer is to produce a copy of what is input into the printer through the computer. The input option will depend on your particular printer’s capabilities. For a multi-function printer the input/output can be in the form of print, copy, fax or scan. Deciding on the right kind of printer to purchase, whether inkjet, laser, or multifunction, can be challenging, with so many types and brands of printers to choose from. Here is a guideline on how to find the best printer for your needs.

1. Laser or inkjet printer?

Inkjet printers are best for printing photos and they usually cost less. However, they can cost you a lot more in the long run through higher running costs. Laser printers are best if you have a lot of document printing to do or if you run a small business, since they are generally more cost-effective and durable. If you regularly print text, graphics, and photos, an inkjet printer is the way to go. Inkjets can print on heavier speciality papers such as gloss photo paper and have a wider range of ink cartridges.

2. Standard or multifunction (all in one) printer?

You need to decide whether you need a standard printer or a multifunction printer (MFP). A standard or basic printer’s only function is to print while a MFP, sometimes called an all-in-one, can print, scan, copy and sometimes even fax. You can have a separate scanner but you would need the computer to be switched on to use it, and it may not be as simple to make copies.

3. Colour or mono printer?

Do you need colour printing? Colour cartridges cost a lot more than black, for both laser and inkjet printers. Mono printers (laser), are usually cheaper and smaller than colour printers. Some printers do not just use black ink to print a black and white page, they can use as much as 50% from the colour cartridges, driving up the cost per page, especially when printing photographs. The costs of running a printer include the purchase price, the unit cost of ink or toner cartridges, the cost of paper and the electrical power costs.

4. Features to look out for

Important features to look out for, whether you have decided on an inkjet or a laser printer, standard or multifunction printer, include speed, LCD display with menu options, cable connections, wireless connectivity and automatic double-sided printing.
